Executive Assistant (m/f/d)

(Full-time; 38,5 hours/week, limited; 2 years)
The Executive Assistant plays a valued role in supporting the President and Chancellor with their schedules, appointments, and correspondence. This position calls for strong organizational skills, discretion, and the ability to stay flexible and prioritize in a dynamic environment. As part of a close-knit team in the President's and Chancellor's Office, the Executive Assistant helps ensure smooth communication and coordination between the President, the Chancellor, and other stakeholders - working collaboratively to make sure the executives are well supported every step of the way.

Your responsibilities:

General organizational, administrative and clerical duties, such as

• General correspondence (English/German)
• Extensive appointment coordination
• Mail processing
• Travel bookings and expense accounting
• Ordering office supplies and hospitality materials
• Supporting the management with operational tasks
• Creation and preparation of presentation documents
• Drafting and formulating business documents and correspondence
• Proactive follow-up of defined measures and deadlines to ensure efficient implementation
• Committee work
• Reception, support and hospitality of the management's guests
• Preparation of meeting notes and minutes

Your qualifications:

• Excellent organizational skills with proven ability to manage complex calendars and resolve scheduling conflicts.
• Strong written and verbal communication skills; able to draft professional correspondence and maintain confidentiality.
• Experienced in coordinating meetings, preparing materials, and managing follow-ups.
• Proficient in Microsoft Office and virtual collaboration tools (e.g., Outlook, Zoom, Teams).
• Professional, proactive, and able to build strong relationships with internal and external stakeholders.
